New Feature: Substitution Preferences
Negotiatus is reducing order processing time and increasing savings opportunities by introducing Substitution Preferences for products. This feature allows our Operations Team to optimize purchasing by sourcing substitutions to maximize savings or when the product is unavailable for purchase without having to reach out to the user. Our goal is to streamline purchasing by seamlessly resolving order exceptions with as little communication as is necessary.
Users can set Substitution Preferences in the cart before submitting an order or in My Products by selecting "Edit My Products and Product Categories". Preferences can also be set when uploading a product using the URL on the Add New Products page.
Three Substitution Preference options are available for each product:
- Always (best price)
- When unavailable
- Never (cancel order item)
Select “Always (Best Price)” to allow Negotiatus to search for an equivalent product at a better price in our Vendor Network when an order is placed. This substitution will be permanent.
Select “When Unavailable” and Negotiatus will search for an equivalent product when the product is unavailable at the time of purchase. If no alternative products are available, the ordered product will be cancelled and the user will be alerted. These substitutions will be order specific and not permanent.
Select “Never (cancel order item)” and Negotiatus will cancel the item, if unavailable, from the order. For more information on Order Exceptions, please see the Help Center Article.
Any time a cancellation or substitution occurs, Negotiatus will notify the user with our redesigned Order Complete email.
The cancelled/substituted items will remain on the order page with the explanation for the substitution or cancellation. The Price Breakdown will include the cost of any cancelled products.
Add a cancelled order item to the cart directly from the order page by clicking reorder. Once the item is in the cart, update the substitution preference to “When Unavailable” to have Negotiatus attempt this order with an equivalent product, if available. A specific substitution can be ordered by adding a new product to the catalog and creating a new order or using the Follow-up Order feature. For more information see the Order Exceptions article.
The option to change a product’s Substitution Preference is only available to users who have permission to "Add new product" or "Add new products - full access". User Permissions can be updated on the Permissions tab under Manage Organization.
