New Feature: Follow-Up Orders
To make ordering as seamless as possible, Negotiatus is releasing a new feature that addresses order exceptions (items that are out of stock or otherwise unavailable).
Users will have the power to quickly resolve order exceptions by adding product substitutions and creating a Follow-up Order without contacting Negotiatus Support.
When an order exception occurs, users will be notified by an “Order Complete WITH EXCEPTIONS” email. This email will list any items and the reasons they were cancelled from the order. Users can access the order page directly from the email by clicking the order number.
Negotiatus offers two features for resolving order exceptions; Follow-up Orders and Reorders.
Users can click “create follow-up order” to open a substitution page for all cancelled items. By clicking Permanently Substitute, the product will be added to the product catalog with an option to add a new custom name and description. If the permanently substitute box is unchecked, the product will be added to the follow-up order, but will not be added to the organization’s product catalog.
Substitutes will be labeled with the same product category and accounting codes as the original item. To resolve all exceptions, add new URLs or click Remove to delete cancelled items from the follow-up order.
Once all exceptions have been resolved, users can add any special delivery instructions and submit the follow-up order.
Note: Users cannot change the address, payment method, or cost center for a follow-up order. These can be changed under Active Orders once the order is submitted.
Approvers and superusers can restrict unauthorized substitutions and enforce brand compliance by placing follow-up orders on behalf of the user who placed the original order.
The follow-up order page will indicate which user placed the original order, which user placed the follow-up order and a link to the original order. Follow-up orders will follow the normal approval process once they are submitted.
User roles must have the Add Products and Create Follow-Up Orders Permission in order to place follow-up orders. This setting can be updated on the Manage Organization page under the Permissions Tab. The permission is located under the General category.
